What is a panelist?
A panelist is someone who will be presenting items on the agenda at the meeting. This will always include the Chair, and may include a few others such as an auditor, lawyer, board member, etc. We recommend limiting the number of panelists to only those that are presenting material at the meeting.
What is the role of a panelist at a virtual meeting?
A panelist is similar to the "head table" at an in-person meeting. Panelists generally are individuals who will be presenting material at the meeting to all of the attendees.
Are panelists visible on screen?
As a panelist, you will most often have the option to be visible on screen, so long as you have a webcam on your internet device.
Are all board members panelists?
This will depend on your specific community and meeting details. Typically, not all board members are required to be panelists as the panel is most often reserved for those that are presenting materials and/or information at the meeting.
Is there a run-through for the meeting?
A brief practice session is typically scheduled for all panelists which will most often take place 30 minutes in advance of the meeting start time. A designated CondoVoter moderator will host the practice session and will be present throughout the entire practice session and meeting. The CondoVoter moderator, the Chair, and all other panelists will briefly run-through the agenda. The CondoVoter moderator will be able to answer any questions at that time.
When is the practice session scheduled for?
Most often, practice sessions will take place 30-minutes prior to the meeting start time, however practice session times can vary by community and meeting. If you have any questions or concerns regarding your practice session time, please contact your management.
Who attends the practice session?
Only panelists are invited to attend the practice session, as the practice session is intended for only those that are presenting material and/or information at the meeting. The CondoVoter moderator (if applicable) will host the practice session, and answer any questions at that time.
Is anyone from CondoVoter present during the practice session?
Your designated CondoVoter moderator (if applicable) will be present throughout the entire meeting, as well as the practice session which takes place 30 minutes prior to the meeting.
How do panelists access the practice session?
All panelists will receive a unique link which can be used to access to the practice session and virtual meeting. Both the practice session and virtual meeting can be accessed through the same link. When the practice session finishes, all panelists will automatically be transferred directly into the meeting.
What can be shared on the screen?
The Chair, board, and/or other panelists may choose to present material visually during the virtual meeting (PowerPoint slides, notice of meeting, auditor statements, etc.). The CondoVoter moderator (if applicable) will be able to assist with sharing screens and can either share their own screen with the relevant material or share the panelists screens.
What is the role of the CondoVoter moderator?
The CondoVoter moderator (if applicable) will facilitate all technical aspects of the meeting, allowing the Chair (and/or any other panelists) to focus on the agenda and present their material. The CondoVoter moderator’s role includes:
- Inviting attendees and panelists
- Sharing screens
- Muting/unmuting participants
- Reporting on quorum
- Providing voting results to the Chair
- Organizing and counting show of hands
- Adding candidates from the floor
- Sending invitations to vote at the meeting
